How to add your work email to your Android phone

Communication is the key to a successful work environment. In order to communicate effectively, it is vital to be connected and available. What better way to make yourself approachable than by having your work email as accessible as your Android smart phone?

Since Android phones have several different operating systems, it is easier to utilize an app to access your email. For the purpose of this demonstration, I will be using a Samsung Galaxy S8 smart phone and installing the Microsoft Outlook app to sync a Microsoft Exchange email account. In order to sync your work email onto your device, you should have your username and password for the account you are adding. Using this tutorial will ensure that you can get your emails on your device.

Using Outlook, you can access several different email accounts within one app so you could potentially have your work and personal accounts in the same location. A word of caution: while it eases the accessibility of all of your email accounts, you also run the chance of mixing your accounts up so if you decide to sync work and personal email accounts within the same app, pay attention to detail when sending anything. You certainly don’t want to accidentally send your supervisor the recipe for your Aunt Jenny’s spinach quiche. (Not that I ever did that.)

I have broken this process down into 2 easy steps:

Step 1- Get the Outlook app

Complete these steps:

  1. Open Google play store

Step 2- Setup your work email on your Android device

To setup your work email on your Android phone follow these steps:

  1. Enter your work email address when prompted

  3. Enter any additional information

    Microsoft likes to know that you are who you claim to be. It asked me for my birthday.

    If you would like to add other accounts, you can at this time.

  4. All Set!

    That was super easy, right? What do you do when it doesn’t go that easily? If you enter a domain name (@whatever.com) that Microsoft does not recognize, you may have to manually input the server information. This information can be found within your work email account under Settings – Account – Server name. If you have trouble finding it, contact your IT department or network administrator and they should be able to help you locate whatever information that Outlook is looking for.
